01 - What We Supply

Dental Syringes Available for Kenya Distribution

Six dental syringe lines, all CE marked under EU MDR 2017/745 and manufactured under ISO 13485:2016. Every line is available in EU thread 1.8ml and American thread 2.2ml, GERATI branded or private label, with English labelling as standard.

Standard Aspirating Syringe
Breech-loading with harpoon aspiration. Grade 410 stainless steel or brass and chrome. Standard and petite sizes. Our highest-volume line into East Africa and where most Kenyan distributors start.
Non-Aspirating Syringe
T-bar handle, no harpoon, for maxillary infiltrations. The workhorse line for county hospital and dental school supply, where instrument counts are high and budgets are fixed.
Safety Aspirating Syringe
Needle shielding mechanism. Bought by mission hospitals, private hospital groups, and donor-funded programmes operating written sharps safety policies.
Self-Aspirating Syringe
Passive diaphragm aspiration, EN ISO 9997:2020 Type 2b, stainless steel, EU thread 1.8ml. Demand concentrated in Nairobi private practices and specialist clinics.
Intraligamentary Syringe
Pistol-grip, 0.2ml per activation, stainless steel with PTFE sleeve. A specialist line for periodontology and oral surgery departments. Lower volume, higher margin.
OEM and Private Label
Your brand laser engraved on the barrel, English packaging carrying your Local Authorised Representative details, and CE documentation structured to sit inside your own PPB dossier.

Samples are available before any commercial commitment. Most Kenyan distributors start with one or two lines, assess the instrument and the paperwork, then widen the range once the first PPB registration is through.

02 - Commercial Terms

Pricing, Shipping and PVoC for Kenya

What You Need to KnowGERATI Position
Pricing Factory-direct from Sialkot with no intermediary margin. Instruments made to AISI-grade stainless steel specification run 30 to 60 percent below equivalent European-manufactured instruments carrying the same CE certification. Tiered by annual volume and confirmed at quotation.
Minimum order Flexible and set at quotation stage. We accept small trial quantities from new Kenyan distributors so you can assess quality and documentation before committing. Commercial tiers apply once volume is established.
Production lead time 3 to 5 weeks from confirmed purchase order and deposit on existing specifications. Private label artwork adds time to the first run only, not to repeat orders.
Air freight DHL or FedEx from Sialkot to Nairobi in 5 to 7 working days. The right choice for samples, first orders, and topping up stock between sea shipments.
Sea freight Karachi to Mombasa in roughly 14 to 21 days at substantially lower freight cost per unit, then road or rail inland to Nairobi. Worth planning for once stock rotation is predictable.
Labelling English labelling, packaging, and Instructions for Use as standard, carrying your Local Authorised Representative name and Kenyan address as the PPB requires. No translation cost and no separate artwork run.
Response time 2 working days on any qualified enquiry. Complaints investigated and answered within 10 working days under our ISO 13485:2016 corrective action procedure.

PVoC: the step that catches most first-time importers

Kenya requires a Pre-Export Verification of Conformity inspection carried out in the country of export, before the goods ship. A KEBS-appointed inspection agent verifies the consignment in Pakistan and issues a Certificate of Conformity. Without that certificate, the consignment will not clear customs at Mombasa or Nairobi, and goods that arrive without one face delay, penalty charges, or return at the importer's cost.

Plan the PVoC into the shipping schedule, not after it. The inspection happens at our end, in Sialkot, which means it is our job to make it easy. GERATI works with the KEBS-appointed agent operating in Pakistan and prepares the invoice, packing list, test reports, and conformity documentation the inspection requires. Tell us Kenya is the destination at purchase order stage and we build the inspection into the production schedule. Tell us after the goods are packed and it adds days.

Documentation supplied

Every commercial shipment carries the CE Declaration of Conformity, EN ISO 17664-1 reprocessing Instructions for Use, commercial invoice, and packing list. Available on request: ISO 13485:2016 certificate, product specification sheet and engineering drawings, ISO 14971 risk management file summary, steel mill material certificates per batch, Certificate of Origin from the Sialkot Chamber of Commerce and Industry, and a Free Sale Certificate.

Ask for the documentation pack early. PPB registration is inexpensive but it is a queue, and the paperwork is what holds it up. We assemble everything a Kenyan distributor needs for a PPB application as a single pack in CSDT format and release it at partnership stage rather than waiting for a purchase order. Email sales@gerati.com with your company name and we will send it within 2 working days.

03 - Who We Supply

Which Kenyan Buyers GERATI Supplies

GERATI does not supply individual dental practices. We supply B2B buyers in commercial quantities, and Kenya divides into two types with different purchasing logic and very different payment rhythms.

Private Sector Distributors

Nairobi and Mombasa companies holding a PPB wholesale dealer licence, supplying private dental clinics, hospital groups, and dental schools.

Regular, forecastable order rhythm and faster payment cycles
Usually act as Local Authorised Representative for their supplier brands
Value exclusivity, so a strong fit for private label
Often the route into neighbouring EAC markets as well
Institutional and Tender Suppliers

Companies bidding into KEMSA, MEDS, county government, and donor-funded programme tenders serving the public and mission hospital networks.

KEMSA distributes to a network of roughly 4,100 public facilities
MEDS supplies the faith-based and mission hospital network
County governments hold their own drug and supply budgets
Large volumes, but procurement cycles commonly run 4 to 8 months
The two buyer types need different things from us, and it is worth saying which you are. A private distributor wants fast restock, flexible quantities, and their own branding. An institutional supplier wants price certainty held across a long tender cycle, documentation that survives an evaluation committee, and confidence that a large single delivery can actually be produced on time. We quote differently for each. Tell us which you are in your first email and the quotation will be more useful.
04 - Market Context

Kenya as the East African Distribution Gateway

Kenya is the principal medical device trade hub for East Africa, and it is overwhelmingly an import market, with domestic manufacturing limited to a narrow range of basic consumables. Annual medical equipment import demand is estimated at around USD 500 million, growing at roughly 10 to 11 percent, driven by the Universal Health Coverage rollout, county hospital upgrades, and a private hospital sector buying to international standards.

The regional angle is what makes Kenya worth more than its own market size. Kenya is a founding member of the East African Community and a leading participant in the EAC Medicines Regulatory Harmonisation initiative, which is progressively aligning requirements across seven partner states. Registering in Kenya first can give a distributor a genuine head start in Tanzania, Uganda, Rwanda, and beyond, where device frameworks are still maturing and Kenyan approval carries weight. That makes Kenya a regulatory gateway in the way the UAE is a logistical one.

05 - Regulatory

PPB Registration for Dental Syringes in Brief

You do not need to read this section to start a conversation with us. It is here because Kenya registration is cheaper and faster than most exporters expect, and knowing that early changes how you plan. Your Local Authorised Representative will handle the detail.

Medical devices in Kenya are regulated by the Pharmacy and Poisons Board under the Pharmacy and Poisons Act, Cap 244. Devices are classified A to D on IMDRF principles, and submissions are made through the PPB online portal. A foreign manufacturer cannot register directly. You register through a Kenyan Local Authorised Representative appointed by power of attorney, and the registration certificate is issued in the LAR's name.

Registration alone is only half the gate. Your LAR must also hold a valid PPB wholesale dealer or distribution licence in their own name. The PPB treats premises and distribution licensing as a separate compliance layer sitting alongside product registration, not inside it. Confirm your LAR holds both before planning a shipment, because a registered product with an unlicensed representative behind it still cannot move.

The three organisations you will deal with

PPB
Pharmacy and Poisons Board
The national regulator, established under Cap 244 and an IMDRF affiliate member. Registers devices, licenses importers and representatives, and issues the import permit required for each individual consignment.
KEBS
Kenya Bureau of Standards
Runs the Pre-Export Verification of Conformity programme through appointed inspection agents in the exporting country. Issues the Certificate of Conformity without which a consignment will not clear customs.
KRA and KESWS
Revenue Authority and TradeNet
The Import Declaration Form is filed with the Kenya Revenue Authority, and import documentation is processed through the Kenya National Trade Net single window platform alongside the other agencies.
Where GERATI's CE marking helps you, and it helps more here than almost anywhere. The PPB recognises eight reference regulatory agencies, and the European Union under EU MDR is one of them. Prior approval from reference agencies moves an application off the slow full-evaluation route and onto the abridged or expedited routes, which cut the timeline dramatically. Our CE marking under EU MDR 2017/745, Certificate EC/4802/20, plus a current ISO 13485:2016 certificate, is exactly the evidence those faster routes are built around.

One useful detail for anyone building a multi-market plan: the Saudi SFDA is also on the PPB's reference agency list. A device registered in Saudi Arabia as well as CE marked therefore counts as two reference approvals in Kenya, which can qualify it for a faster evaluation route. Sequencing your market entries deliberately is worth real time.

Registration fees, evaluation route timelines, labelling requirements, and post-market obligations are covered in the FAQs below.

06 - FAQs

Frequently Asked Questions

What is the minimum order quantity for dental syringes supplied to Kenya?+
Minimum order quantities are flexible and confirmed at quotation stage based on specification and volume. For trial orders from new Kenyan distributors evaluating our instruments, we accept smaller quantities so you can assess quality and documentation before committing to a full commercial order. Once volume is established, commercial pricing tiers apply. Send your specification and estimated annual volume to sales@gerati.com and we will confirm the applicable MOQ and pricing within 2 working days.
How long does shipping take from GERATI to Nairobi or Mombasa?+
Air freight via DHL or FedEx from Sialkot to Nairobi takes 5 to 7 working days, which is the right choice for samples and first orders. Sea freight from Karachi to Mombasa takes roughly 14 to 21 days at substantially lower freight cost per unit, with road or rail inland to Nairobi from there. Production lead time is 3 to 5 weeks from confirmed purchase order and deposit. Build the PVoC inspection into that schedule rather than treating it as a final step, since the inspection happens in Pakistan before the goods depart and a consignment without a Certificate of Conformity will not clear customs on arrival.
What is PVoC and does GERATI handle it?+
Pre-Export Verification of Conformity is a Kenyan import requirement administered by the Kenya Bureau of Standards through inspection agents appointed in the exporting country. The consignment is verified in Pakistan before it ships, and a Certificate of Conformity is issued on successful inspection. That certificate is required for customs clearance, and goods arriving without one face delays, penalty charges, or return at the importer's cost. GERATI works with the KEBS-appointed agent operating in Pakistan and prepares the invoice, packing list, test reports, and conformity documentation the inspection requires. Tell us Kenya is the destination when you place the order and we build the inspection into the production schedule.
Does GERATI offer OEM or private label dental syringes for Kenyan distributors?+
Yes. We offer laser engraving of your brand on the syringe barrel, English packaging carrying your Local Authorised Representative details, and CE documentation structured to sit inside your own PPB dossier. For Kenyan distributors building a dental instrument brand, private label lets you supply clinics, hospital groups, and dental schools under your own name with CE certified instruments as the manufacturing base. Whether GERATI or your company is named as manufacturer on the label materially changes how the registration dossier is built and who carries which obligation, so decide the structure before artwork rather than after. Full detail is on our OEM guide at gerati.com/dental-syringes/oem-private-label/.
Does GERATI's CE marking help with PPB registration?+
Considerably, yes. The PPB recognises eight reference regulatory agencies, and the European Union under EU MDR is one of them, alongside the US FDA, Health Canada, Australia's TGA, Japan's MHLW, Ireland's HPRA, Saudi Arabia's SFDA, and Swissmedic. Devices without any reference agency approval go through the full evaluation route. Devices approved by at least two reference agencies qualify for the abridged route, and stronger reference histories open the expedited routes. GERATI's CE marking under EU MDR 2017/745, Certificate EC/4802/20, together with a current ISO 13485:2016 certificate from an accredited body, is exactly the evidence those faster routes are built around. It also helps satisfy the quality system requirement, since the PPB may accept ISO 13485 certification and reference agency inspection reports in place of conducting its own factory inspection.
How much does PPB registration cost and how long does it take?+
Kenya is inexpensive compared with most export markets. Published PPB fee guidance for imported products sets Class A registration at USD 100, Class B at USD 200, and Class C and D at USD 1,000, with annual retention of USD 50 for Class A and B and USD 300 for Class C and D. A variation is USD 200. Timelines depend entirely on the evaluation route: full evaluation runs 6 to 12 months, the abridged route 3 to 6 months, and expedited Class B registration 1 to 3 months, with immediate Class B registration possible within 48 hours where a device holds at least three reference agency approvals and four years of clean market history. The PPB operates a stop-clock, so the timeline pauses when a deficiency letter is issued and restarts when you respond, which means a prepared applicant genuinely does move faster. Confirm current fees and route eligibility with your Local Authorised Representative before applying.
Do I need a Local Authorised Representative in Kenya?+
Yes. The PPB will not register a product to a foreign company directly. A foreign manufacturer must appoint a Kenyan Local Authorised Representative by power of attorney. The LAR holds the registration certificate in their own name, is the communication channel with the PPB, makes all submissions including variations and renewals, applies for the import permit for each consignment, and is accountable for pharmacovigilance and complaint handling in Kenya. Critically, the LAR must also hold a valid PPB wholesale or manufacturing licence in their own right, which is a separate approval from the product registration. Registrations can be transferred between representatives later if the current LAR issues a non-objection letter, but plan that well ahead of any commercial transition.
Can a Kenyan distributor supply neighbouring East African markets?+
Often, and this is one of the better reasons to build a Kenyan relationship. Kenya is a founding member of the East African Community and a leading participant in the EAC Medicines Regulatory Harmonisation initiative, launched in 2012 and now covering seven partner states including Tanzania, Uganda, Rwanda, Burundi, South Sudan, and the DRC. The initiative brings a common technical document format, mutual recognition of inspection reports and registration decisions, and joint assessment options. A Kenyan registration can therefore function as a reference approval that accelerates entry into partner states where device frameworks are still maturing. Each country still has its own requirements, so confirm the current position with your regulatory advisor, but a Kenyan base is a genuine regional advantage rather than a single-country one.
Is buying dental syringes from a Pakistani manufacturer reliable?+
Sialkot is one of the world's three primary surgical instrument manufacturing centres alongside Tuttlingen in Germany and Sheffield in the United Kingdom, and East African distributors have sourced dental and surgical instruments from Sialkot for decades. GERATI operates under ISO 13485:2016, audited annually by an accredited third-party certification body, and carries CE marking under EU MDR 2017/745. Instrument quality is determined by the quality management system, not by geography, which is precisely why the PPB evaluates certification and reference agency approvals rather than country of origin. GERATI has supplied dental and surgical instruments to distributors and hospital procurement teams in more than 65 countries, operating since 1972 under the PHF Group.
